What personal data we collect

We only collect the information we need.

First name
Email address

We collect this information when you:

sign up to our newsletter

How we use your personal data

We use your personal data for the following purposes:

Based on your consent:

  • to send you the newsletter you signed up for
  • to deliver the toolkit or resource you requested
  • to share relevant updates, insights, or offers related to our coaching services

We do not sell your data and we do not use it for automated decision-making or profiling.

Coaching and assessment services

If you engage in a coaching session, assessment, or related service (including completing a pre-session form), we collect additional personal information relevant to delivering that service.

This can include background information, reflections, or responses you choose to share.

This information is used solely to prepare for and deliver a tailored coaching experience, is handled confidentially, and is processed on the lawful basis of contract.

We do not use this information for marketing purposes unless you have separately opted in.

Coaching sessions are not routinely recorded. Where recordings are requested or agreed, separate consent and confidentiality terms apply.

Lawful basis for processing

Under UK GDPR, we must have a lawful reason to use your data.

Our lawful bases are:

Consent
When you choose to sign up to our newsletter or request a toolkit

Contract
If you engage our coaching or assessment services

You can withdraw your consent at any time by unsubscribing or contacting us.

Email marketing

We only send marketing emails to individuals who have actively opted in.

Our emails:

clearly explain why you are receiving them
include an unsubscribe link in every message

We recommend and use double opt-in where possible to confirm your consent.

Who we share your data with

We use trusted third-party services to help us operate our website and email communications.

This includes:

MailerLite (email marketing platform)

Microsoft 365 (email, file storage, forms, and meeting services)

Fathom (meeting transcription and summary services where recordings are specifically requested or agreed)

These providers act as data processors and only process your data on our instructions. Appropriate data protection agreements are in place.

This is different from third-party platforms you may access directly as part of our services (see below).

Some providers may store data outside the UK. Where this happens, appropriate safeguards are used in line with UK data protection law.

Third-party assessments (Positive Intelligence®)

As part of our coaching services, you may be invited to complete an assessment provided by Positive Intelligence®, LLC.

This assessment is accessed via a unique link and is hosted on their platform. Positive Intelligence® acts as an independent data controller for any personal data you provide through the assessment.

We receive access to your assessment results in our capacity as your coach in order to support and deliver your coaching experience.

We do not control how your data is processed on their platform. We encourage you to review Positive Intelligence®’s Privacy Policy to understand how your data is collected, used, and stored.

How long we keep your data

We keep your personal data:

for as long as you remain subscribed (for newsletter data)

for as long as necessary to deliver coaching or assessment services and meet legal, tax, or record-keeping obligations

Once no longer required, your data will be securely deleted or anonymised.

Your rights

Under UK GDPR, you have the right to:

  • access the personal data we hold about you
  • ask us to correct inaccurate data
  • request deletion of your data
  • withdraw consent at any time
  • object to certain types of processing

To exercise any of these rights, please contact us using the details above.

If you have any concerns about how your personal data has been collected, used, stored, or handled, please contact us in the first instance so we can investigate and try to resolve the matter.

You can contact us at:

Email: alison@pilotyourmind.co.uk

We will acknowledge your complaint and aim to respond within 30 days.

If you are not satisfied with our response, you have the right to lodge a complaint with the UK Information Commissioner’s Office (ICO).
